Bay House Concierge works with short-term rental hosts and property managers in St. Petersburg, Florida and on the Gulf beaches in two ways. Host Partner costs you nothing and is paid by your guest. Turnkey Host is $105 a month per property. Rates are held twelve months from your start date.

Neither is a percentage of your rent. Both come with a certificate of insurance naming your company as additional insured, a W-9 and a current background check, sent the same business day you ask.

One fact to hold while you read the rest: Bay House Concierge is one person. Pauliane Stenberg owns it and does the work, so nobody is dispatched to your doors. She is who arrives, every time. That is most of the case for using us, and it is also the honest limit on how many doors we can take.

What does a provisioning partner solve for a property manager?

Three things, none of them groceries. These are the three places a turnover schedule leaks, and what Bay House Concierge is built around.

Saturdays stack.

A high-season Saturday can put six departures and six arrivals inside the same eight hours. Cleaning goes to a vendor; provisioning you absorb.

The kitchen is empty at 4pm.

A family lands at Tampa International at one, reaches Pass-a-Grille at four, and opens a refrigerator holding half a bottle of ketchup.

The margin sits in ancillaries.

Your fee is set and the market sets the nightly rate. Arrival stocking is an ancillary you can offer without adding a line to your own operation.

How does the Host Partner program work?

Host Partner is free to the manager and paid by the guest. Bay House Concierge gives you a co-branded booking link and a printed card for the welcome book. Your guest books a Signature Arrival at $95 or a Grand Arrival at $175 and pays us directly. You take either a 10% referral share, or your own published price and the spread.

  1. You get a link and a card. The link carries your property code, so bookings attribute themselves; the card sits in the welcome book beside the wifi password.

  2. The guest books ahead, up to three months out. Standard lead time is five days, so a Saturday arrival wants the list by the Monday before; changes by text up to 24 hours ahead are free.

  3. We stock before check-in. Cold chain iced from the register, put away rather than left on a porch in July, packaging removed.

  4. The guest pays us at list. No invoice reaches you. Shelf price on goods, tips welcome.

  5. You take 10%, or your spread, paid monthly against a W-9. A mid-stay guest errand is answered within 90 minutes inside working hours, billed to the guest at the $60 errand rate.

The 10% is our offer, not an industry standard. We know of no published referral rate in provisioning, so treat 10% as our number and nothing more. Take the share or the spread, not both.

What does Turnkey Host include for $105 a month?

Turnkey Host is $105 per month, per property, anywhere Bay House Concierge works in St. Petersburg and on the Gulf beaches. It covers consumables held at par between guests, a quarterly deep inventory with a photo report, guest errand response within 90 minutes, and restock invoices reconciled monthly at shelf price. Month to month, no term.

A par level is the count you want on the shelf when a stay begins: four rolls of paper towel, two bags of coffee, a full box of filters. Set once, at the walkthrough.

Held at par between guests

  • Coffee, filters, tea, sugar, salt, pepper, oil.
  • Paper towels, toilet paper, tissues, trash bags.
  • Dish soap, dishwasher tablets, sponges, hand soap, laundry detergent.
  • Foil, wrap, storage and sandwich bags.
  • The welcome basket you specify, to the same list every time.

Counted, photographed and reported once a quarter, with that month’s invoice.

What Turnkey Host is not

  • Not turnover cleaning. We do not want your cleaner’s job.
  • Not linens, laundry, maintenance, pool or pest.
  • Not guest check-in, key handover or lockbox admin.
  • Not a 24-hour desk. A 10pm Friday text is Saturday’s first errand, not the answer at 10:05.

The 90-minute response runs Monday to Saturday, 8am to 6pm; evenings and Sundays by arrangement. One person carries that phone, so the reply comes from her directly. If she is inside another house when your guest texts, you get an hour back, not silence.

What paperwork do you provide for a vendor file?

Four documents, issued the same business day you ask, addressed to your company or the owner you answer to. All four cover one person, because there is only one.

There is no workers’ compensation certificate in that packet, and your file should not wait for one. Bay House Concierge has no employees, and Florida does not require a sole owner without employees to carry a policy. What sits underneath that line in a vendor file is the fact itself: no subcontractors, no gig marketplace, no rotating strangers with your lock code. It is only ever Pauliane at your doors, which is why one background check answers the question that a screening policy is usually written to answer.

Standard lead time is five days, and shorter notice carries no extra charge, subject to availability. Zone B adds $25 a visit, Zone C $50 (service area). Access follows the same key protocol as a residence.

How do you onboard a portfolio?

One property at a time. A portfolio is not one account with several addresses: the lock, the closet and the nearest store differ at each door.

Owner-occupied doors can run on a household account: weekly grocery service or the seasonal retainer.

How many properties can Bay House Concierge take?

Fewer than most managers expect. Bay House Concierge is one person, founded in 2026, and a managed door takes as much of the week as a residence does. There is a real ceiling on how many can be held at once, and where it falls depends on your book rather than on a published figure: turnover day, stay length, how far the doors sit from each other. We work that out at the walkthrough with the calendar open, and you get a number then rather than a promise now.

Tell us the door count in the first ten minutes. We would rather decline eighteen doors in September than take them and miss Saturdays in February. If we cannot cover your whole book, we will say which subset we can, and you can keep your current arrangement for the rest.

It is also why an arrival here is worth buying rather than dispatching. Pauliane stocks your Pass-a-Grille unit on Saturday, and she is the one who stocks it the following week: no roster, no dispatch queue, nobody reading your file for the first time in the parking lot. See how it works.

The other half of that belongs on the same page, because you plan around vendors for a living. There is no backup. If she is ill or out of town, you hear it from her with as much notice as she has, and the visit moves. She does not send a stranger into a property she is responsible for. For a February Saturday that cannot slip, keep whatever fallback you use today. We would rather be the reason your guests are provisioned than the reason they are not.

Bay House Concierge has no employees, no subcontractors and no gig marketplace behind it, so the person who quotes your portfolio is the person who stocks the units and answers your guest’s text. If she is ill or away, you are told and the visit moves; she does not send a stranger into a property she is responsible for.

Does Bay House Concierge charge property managers anything?

Host Partner costs the manager nothing: your guest pays Bay House Concierge $95 for a Signature Arrival or $175 for a Grand Arrival. Only Turnkey Host carries a fee, $105 a month per property.

How is the referral share paid, and when?

Monthly, against a W-9, one statement per property. The 10% is Bay House Concierge’s offer, not an industry standard: we know of no published referral rate in provisioning.

Can you name my management company as additional insured?
